The Centre for Teaching and Learning procedure for exam scanning requests (for multiple-choice exams) at UTSC is as follows:
As far in advance as possible (with a minimum of 5 business days before the exam/drop-off date), please send an email request to firstname.lastname@example.org with the following information:
- Course title
- Exam date and time
- Professor(s)’s name and email address
- How many students (approximately) will be writing the test
- How many versions will be submitted
As long as CTL’s scanning team receives this email 5 days in advance of drop off, we guarantee a 2-business day turnaround. If we do not receive an email request 5 business days in advance, your test will be scanned after we process the exams that were submitted with advanced notice.
The tests should be inserted into the CTL drop box, which is just left of the AC210 entrance (across from the library). When dropping off the package, please ensure the following:
- The scanning sheet/bubble sheets are placed in a sealed envelope or zip lock bag
- The scanning services cover sheet should be affixed to the package (Test_Scanning_Cover_Sheet.pdf)
Once the tests are scanned, an email will be sent to the professor (and any additional staff members mentioned on the cover sheet) with the test results. In this email, we will include instructions for picking up the scantrons after they are processed. Pick up will most often be Monday to Friday from 10 a.m.-11 a.m. and 2 p.m.-3 p.m. If there is a day when no one is on campus, we will send out updated pick-up times in the email.
Sending an email ahead of time letting the scanning team know when you are stopping by is greatly appreciated. If we are away from the office and you walk in without notice, we cannot guarantee we will be there.
