President
- Ensure the year runs smoothly
- Keep track of executives and ensure responsibilities are maintained
- Assist in obtaining and maintaining funding. Prepare a proposal of graduate events and activities, budget, and funding requests for: departmental contributions, funding from the Dean’s office, VPRO, Student Life, Student Experience Funds, etc.
- Play a large part in the organization of events, especially Orientation, IRDS, Elections, etc.
- Organize and host monthly meetings to discuss progress in different areas, and bring everyone up to speed
- Ideally having skills in organization, initiative, creativity, previous knowledge /experience within GSAS
- Meet with the Chairs/Directors of graduate departments (along with Vice-President and appropriate GSAS departmental rep) at the beginning of the school year to build bridges, discuss expectations, goals and objectives, and request fundig
Vice-President
- Assist the President wherever necessary with maintenance, event organization etc.
- Ensure that events, activities, etc. are advertised and marketed (emails, posters etc.)
- Take notes (minutes) at each meeting, and send it out to all executives
- Work alongside other executives to ensure that activities are organized in a timely manner, and are marketed appropriately
- Meet with the Chairs/Directors of graduate departments (along with President and appropriate GSAS departmental rep) at the beginning of the school year to build bridges, discuss expectations, goals and objectives, and request funding
- Take part in CSS council meetings
- Manage the GSAS email account (gsas@utsc.utoronto.ca)
- Respond to emails and/or direct emails to other GSAS executives accordingly in a timely manner
Treasurer
- Maintain the finances within GSAS in a detailed fashion (Requires up to date figures at all times
- Requires the transfer and holding of an account in your name
- Has the ability to write cheques for reimbursement/payments (e.g. Aramark catering, U of T advertising)
- Responsible for depositing cheques from different funding sources (GSU head grants, VP Research funding for NFSS)
- Funding sources, such as the GSU head grant, requires paperwork to be filled out by the treasurer, detailing GSAS’s finances
- Assist in the preparation of a detailed annual budget and funding request for departmental contributions, Dean’s Office, etc.
- When a departmental sponsorship is set up with GSAS, especially for the orientation, it is the treasurer’s responsibility to contact and meet with the departmental financial officer to complete the transaction
- Must report the current standings of the account to executives at each meeting
- Schedule GSAS meetings and arrange meeting location
- Record and circulate meeting minutes

Secretary
- Schedule GSAS meetings and arrange meeting location

Computer Centre Representative/Website Updater (Social Media Coordinator)
- Update GSAS website and calendar; administer the Facebook group page, and Instagram accounts. (Twitter?)
- Provide training/ guides for all execs regarding website, Facebook and Instagram postings
- Update “Executive” page with exec photos and bios at the beginning of each year
- Communicate with IITS and Office of the VP research to arrange payment to cover grad student printing subsidy
- Receive feedback about computers in the new computer lab, report problem to IITS to get the grad computers fixed
- Extract and process data for facebook, Instagram and other social media channels for a brief presentation per term

Graduate Association for Professional Skills (GAPS) Representative
- Plan workshops on professional skills
- Arranges speakers and guests from government, non-profit and private sectors for events such as networking night and career panel
- Room bookings, ordering food and beverages and oversee events
Seminars
New Frontier Seminar Series (NFSS) Coordinators (4)
- Communicate with the President and draft a proposal before Fall semester starts
- Make sure that the expenditure for events are within budget
- Organize seminar series and request nominations for speakers from grad student body
- Evaluate and research nominations to select appropriate speakers that ensure diversity in subject areas and origin (i.e. internal/external speaker)
- Contact potential speakers and organize the year (1 speaker a month if possible, 12 speakers total)
- Organize flights/hotel/dinner for external speaker if required
- Ensure that funding is maintained (funding for operations, marketing, hotels/flights/dinner etc.)
- Contact appropriate departmental representative (chair or professor) to introduce speaker
- Compile advertisement essentials from speaker (title, abstract, photos)
- Market the event each month (includes poster design, posting announcements on social media putting up posters around the campus, and sending campus-wide e-mails announcing the seminars)
- Room bookings, ordering refreshments (sandwiches/coffee) and oversee events
Graduate Student Seminar Series (GSSS) Coordinators (2)
- Send out call for speakers, ensure all departments contacted and liaise directly with department heads if suggestions are needed
- Select speakers ensuring diversity in subject areas and departments
- Contact potential speakers and organize the year
- Market the event each month (includes poster design, putting up posters around the campus, and sending campus-wide e-mails announcing the seminars)
- Room bookings, ordering refreshments (sandwiches/coffee) and oversee event
- Administer GSSS Presentation Awards
Social Events Chair
- Oversee the major social/community-building graduate events (Halloween and Holiday parties, coffee breaks, etc.)
- Coordinate event planning with the departmental reps, ensure tasks and responsibilities are allocated equitably
- Procure volunteers to help at the events as needed (GSAS or external)
- Coordinate coffee pods for grad lounge
Departmental Representatives (Biological Sciences, Physical & Environmental Sciences (PhD), Psychology, Social Science/Humanities, Master of Environmental Science, Master of Accounting and Finance)
- Act as a liaison between GSAS and their respective departmental student body
- Ensure that events are communicated to the student body
- Assist in marketing/sales of tickets/support within GSAS to the department
- Act as a liaison between GSAS and their respective departmental student body
External
GSU Representatives (2)
- Attend monthly GSU meetings at St. George campus
- Liaise between GSAS and GSU
- Voice UTSC graduate students’ feedback and concerns to GSU
- Connect students with GSU services and resources (e.g. health & dental plan, GSU gym)
Sports Representative
- Sign up graduate teams for UTSC sports competitions
- Attend athletic centre (Pan Am sports facilities) meetings and advocate for graduate students’ needs
Health and Wellness Representative
- Represent the interest of graduate students on the health and wellness matters
- Attend Health and Wellness Centre’s monthly meeting
