Project Management Projects
Overview
The University of Toronto has migrated to Office 365 and it is now time to retire the legacy UTSC email service. The goal of this project is to migrate emails from 600 existing @utsc.utoronto.ca accounts to corresponding @utoronto.ca accounts by the end of 2020.
Project Objectives
The email migration will affect all UTSC faculty and staff who are still using a UTSC email account.
During the migration, all email folders will be transferred to your UToronto account. After the migration, you will no longer have access to your UTSC email but all incoming emails to your retired UTSC account will automatically be forwarded to your UToronto account.
The migration is scheduled to take place during off-hours and should not interrupt daily activities. Team members from IITS will visit every department where accounts have been migrated during the following business days to resolve any issues and ensure the migration has been successful.
Overview
As part of a $600,000 project to improve IT services at UTSC, IITS is replacing the existing core switches and router with new hardware.
Project Objectives
As our community grows, we rely heavily on the network to conduct research, teach classes, and collaborate with others. The upgrade will result in a more stable and reliable network to support these activities. Service is scheduled to take place during off-hours and should not interrupt daily activities.
Overview
As the UTSC community grows, there is an increasing demand for a standardized approach to approve, monitor, and measure project success. The goal of this project is to implement a comprehensive tool to improve project and portfolio management (PPM).
The PPM tool will assist with the planning, implementation, resource allocation, and performance analysis of major projects across multiple departments at UTSC. Our vision is to unify the UTSC community when it comes to project and portfolio management.
Project Objectives
The PPM tool will provide visibility and a deeper understanding of where investments are being made across multiple departments. Further, this project will assist in the optimization of strategic projects and the streamlining of project management processes.
Overview
In a continuing effort to improve IT services at UTSC, IITS is replacing over 350 existing wireless access points with new hardware across the campus.
Project Objectives
As our community grows, we rely heavily on the wireless network to conduct research, teach classes, and collaborate with others. The upgrade will result in better wireless coverage with increased stability and capacity to support these activities.
During this project, installers will attempt to minimize impact on daily campus activities. If you experience any issues with the network, please contact the helpdesk: helpdesk@utsc.utoronto.ca
Overview
Graduate students are provided with Teaching Assistant (TA) opportunities within Departments and educational units. The existing online TA Job posting system has been around for a few years and is on a legacy technology.
Project Objectives
The initiative to rewrite will upgrade the application to a new platform along with digitizing the existing pdf fillable DDAH form to an online system that will integrate with the updated TA Job posting system. The project will also look at the possibility to expand the application for the hiring of RA, SL and Course instructors.
Overview
U of T Scarborough is in the process of developing its five-year strategic plan. The PMO is charged with driving progress from the project management perspective toward the journey of renewal and revitalization for the campus. Our team is working the Executive Leaderships and all levels of the Strategic Plan governance framework, including the scheduling and facilitation of the eight (8) working groups who are tasked with Strategic Plan recommendations.
Project Objectives
The PMO leads the Project Liaison Team (PLT) for the Strategic Plan by establishing timelines and an internal communication platform for working groups to enable the delivery of recommendations. We drive progress on the drafting of the Strategic Plan with the Exercutive Leadership, devise and execute feedback engagement strategies for internal and external stakeholders, and coordinate major events and the approval of the Strategic Plan through the Unviersity of Toronto Scarborough and University of Toronto Governance bodies.
Overview
Due to the COVID-19 pandemic, the campus is closed for any non-essential services. The Chief Administrative Officer has tasked the PMO to work with the campus Re-Entry Planning Working Group for a return to campus.
Project Objectives
The PMO is working on establishing clear and informative communication and support channels during the planning process with the campus Re-Entry Planning Working Group and University overall to establish streamlined and coordinated planning procedures for UTSC administrative and academic departments for a return to campus in the Fall of 2020.
Overview
The Chief Administrative Officer has tasked the PMO to work with the campus leadership team and Campus Police to establish a model Divisional Emergency Preparedness Plan. The University recognizes the important preparedness work happening at the local level within the University.
Project Objectives
The purpose of a Preparedness Plan is to coordinate the institution-wide framework with previously existing efforts and resources at each division/faculty or campus.
Business Analysis Projects
Current State
WebOption is an academic support service offered by the Centre for Teaching and Learning (CTL) at the University of Toronto Scarborough. Since 2009 WebOption has been providing students with a flexible and accessible means of pursuing academic excellence. Using WebOption to record lectures provides students with an additional learning resource. It is a useful tool for students needing AccessAbility services, or more flexibility.
Project Objectives
The new solution will improve student experience by providing a newer and more integrated platform for students to watch WebOption lectures.
Current State
UTSC has an average enrolment of 15,000 students and frequently seeks assistance and service from the Office of the Registrar. Currently, students are queuing for services but are faced with long wait times during peak seasons.
Project Objectives:
The PMO is seeking a new tool to address the current state issues. The new solution will resolve issues around wait times, faster service and overcrowding in the hallways.
Current State
UTSC has over 600 open access lab computers with a variety of specialized software installed on them. It was desirable to manage software on a fleet of computer labs on premise where it can be easily controlled. However, this style of lab access also required students to be on premise to access specialized software for their courses. It is difficult to provide resources to instructors and students remotely in our current environment because it is not flexible or scalable enough to support online courses.
Project Objectives
A technology that enables IITS to virtualize applications desktops, that allows remote access to specialized software. The solution must also leverage and support all different types of student devices.
Current State
Considering alternatives of wet signatures particularly due to COVID-19 pandemic.
Project Objectives
A legal way to get consent or approval on electronic documents or forms. To modernize the workflows with convenience, security and faster turnaround. It can replace a handwritten signature in virtually any process.
Current State
UTSC is seeking a technology-based solution for recording assets that can integrate with existing procurement processes.
Project Objectives
The goal is to make recording assets easier, improve the quality and usefulness of the asset records, and to improve planning and budgeting.
Consulting Projects
Overview
The Office of the registrar eService is an in-house application, containing several modules serving students, departmental admins and Registrar’s Office. Currently students availing these services have prolonged wait times and less insight to the process.
Project Objectives
Improving and streamlining the business processes to help Students, Faculty and Staff. Promote sharing of information between units within the department. Integration with other UofT system to both push and pull data. Real time access to information Better Student Experience.
Overview
The Arts and Science Co-op Office converts employer leads into job postings for students through communication and predictive modelling. The current inability to follow-up with leads and nurture them with relevant and timely messaging is resulting in lost opportunity.
Project Objectives
The department is looking to optimize the current process and leverage an automated solution that will replace the voluminous redundant work of the team and help Manage leads efficiently with targeted email campaigns, easy communication and improved follow-up.
