WHAT TRAVEL DOCUMENTS DO I NEED?

You DO NOT need an Electronic Travel Authorization (eTA) if you are a citizen of the United States or are traveling on a Canadian visa. You DO NEED an eTA if you are a permanent resident of the United States or are a visa-exempt foreign national, for example, from the European Union. All conference attendees are advised that they need to carry a valid passport to enter Canada. Some may also require visas.

 

HOW DO I REACH UTSC/THE DELTA HOTEL FROM THE AIRPORT/DOWNTOWN?

WHERE CAN I PARK MY CAR AND WHERE DO I GET A PARKING PERMIT?

If you have a car, please park in the PB parking lot if you are in campus housing. If you ordered a parking permit but are not staying on campus, you can park in the PA lot and get your permit from registration. If you have not arranged parking, visitor parking is available in the PG parking lot for $7.50 daily.

Prior to Wednesday, 22 June, pick up parking permits from the front desk at the Student Residence Centre (SRC on the map).

 

HOW DO I CHECK IN TO/REGISTER FOR ON-CAMPUS HOUSING?

If you are staying in campus housing, please check in at the Student Residence Centre (marked SRC on the map). The Centre will be open from 7.00 am to 11.00 pm daily. If you arrive outside office hours, you can reach staff using the phone number posted on the outside doors of the office and they will check you in.

If you have not made bookings already, you can sign up for on-campus housing at the registration desk, subject to availability (payment by cash or credit card). We regret that we cannot guarantee accommodation to anyone who has not yet booked it.

 

WHAT FACILITIES WILL I FIND IN CAMPUS HOUSING?

Campus housing includes only basic facilities. Please carry any extras you may require, such as hangers, hair dryers and irons.

WHERE DO I GET BREAKFAST IF I’M STAYING ON CAMPUS?

Breakfast will be provided as part of the conference package from Thursday 23 June till Saturday 25 June. Please check the program for details. On other days, you can get breakfast at food outlets on campus.

 

WILL I HAVE WIFI ACCESS OUTSIDE THE CONFERENCE AREA/IN CAMPUS HOUSING?

You will have wifi access across campus for the duration of the conference. Details will be on a leaflet in the conference pack.

 

WHERE AND WHEN WILL THE HOTEL SHUTTLE BUS RUN?

If you are staying in the Delta East Hotel, a shuttle bus will run from Wednesday to Saturday. The shuttle will drop off at UTSC in the driveway in front of the Recreational Centre RC and the Student Centre SL. A complete schedule of shuttle bus hours will be posted shortly on the website.

 

WHERE DO I CHECK IN/REGISTER FOR THE CONFERENCE?

Conference check-in and registration will take place in the southeast corner of the Academic Resource Centre (AC on the map). Registration hours will be Wednesday through Friday 7:30 to 5:00 and Saturday 7:30 to 12.

Online registration is now closed. We will accept any further registrations on the spot at the conference (payment by credit card/cash).

 

IS THERE ROOM ON THE CONFERENCE TOURS/THE BANQUET/THE PRESIDENTIAL LUNCHEON?

All field trips are now full. We have a few spots available for Friday’s Miller Lash banquet and Saturday’s Presidential luncheon. Please sign up for these at the registration/check-in desk (payment by cash/credit card).

 

HOW CAN I GET A REFUND OF MY REGISTRATION FEE/TOUR COSTS/BANQUET COSTS/HOUSING COSTS?

As we are past the final announced date for refunds (22 May), we are unable to initiate any further refunds of registration fees, housing charges, event charges, etc. Refunds already in process will be made as soon as possible.

 

I’M SPEAKING ON A PANEL/ROUNDTABLE. HOW LONG WILL SESSIONS BE AND HOW MUCH TIME DO I HAVE TO SPEAK?

All sessions are scheduled to run for an hour and fifteen minutes each, with the last fifteen minutes for discussion/Q&A. If there are four presenters on your panel, you will have fifteen minutes each; if there are three, you will have twenty minutes.

 

CAN I USE A POWERPOINT? WHOM SHOULD I SEND IT TO?

Please bring your powerpoints on a flash drive to the session. Do not email them to us in advance. All rooms will have PC computers and projectors for presentations. You will be able to access the internet or use flash drives to load presentation files onto these computers. If you wish to project directly from a Mac computer, you will need to provide your own converter. We apologize for any inconvenience.

 

CAN I MAKE CHANGES TO THE PECHA KUCHA FORMAT FOR MY PRESENTATION?

Pecha Kuchas must follow the standard format for length of time slides are shown, length of presentation, etc.

 

I’M PARTICIPATING IN THE POSTER SESSION. HOW BIG SHOULD MY POSTER BE? WHERE CAN I PRINT IT?

We ask poster presenters to be available to discuss your work during the G session on Friday from 1:30 – 2:45 PM. Posters will be displayed on stands (like a cubicle wall) that we will provide and should be between 2’ x 3’ and 3’ x 4’in size.

To save the trouble of traveling with your poster, you can print it on-site at the university print shop, located off the corridor between the Meeting Place and the Market Place. The cost is $3.99 per square foot, payable in Canadian dollars only.

 

WHAT TIME IS MY PRESENTATION SCHEDULED FOR? WHERE WILL IT BE HELD? AND WHERE CAN I TAKE A LOOK AT THE FINAL PROGRAM?

The final program is now available online and will be in your conference packet when you arrive. Session numbers may have changed (e.g., from A4 to A6). This will not affect the actual time of the event. An index of panels will be available.

 

I WAS SCHEDULED TO BE ON A PANEL, BUT FORGOT TO REGISTER FOR THE CONFERENCE. CAN I BE ADDED NOW IF I REGISTER?

The program is now final. We are unable to add on-the-spot registrants as presenters/panellists to the program.
