Roles and Responsibilities of UTSC Alumni Association Board of Directors*
*Please Note: The structure and position titles are pending approval of constitutional amendments.
PRESIDENT (1)
- Presides over and sets the agenda for all meetings of UTSCAA
- Ensures action items resulting from meetings are followed up on by the appropriate members of the Board of Directors
- Serves as the official spokesperson for the UTSCAA
- Ensures that the intent and provisions of the constitution and any subsequent by-laws or policies are enforced
- Prepares a report for presentation at the Annual General Meeting(AGM), detailing the activities for the UTSCAA since the last membership meeting
- Co-coordinates the Annual General Meeting(AGM) with the Vice-President, Alumni Engagement and Vice-President, Student Engagement
- Motivates all executive members to achieve a collaborative and shared participation in all UTSCAA initiatives and meetings
- Represents the UTSCAA at all UTSC and University of Toronto events as appropriate
- Mobilizes the alumni membership through a variety of partnership strategies (reunions, events, surveys, etc.)
- Ensure the Annual Action Plan is utilized as a guideline to implement the Vision and Objectives of the UTSCAA
- Serves on the Nominating Committee as appropriate
PAST PRESIDENT (1)
- Serves as ex-officio non-voting member in an advisory capacity to the current President and the Board of Directors
- Assists with strategic planning of the UTSC Alumni Association
- Serves on the Nominating Committee as appropriat
VICE-PRESIDENT, ALUMNI ENGAGEMENT (1)
- Acts on behalf of the President with Vice-President, Student Engagement if he/she cannot attend a meeting, event, or activity or is unable to continue his/her duties
- Accounts for financial resources accrued to the UTSCAA for alumni engagement and in consultation with the members of the Board of Directors
- Liaises between UTSCAA and Development and Alumni Relations Office (DARO) with respect to all financial matters relating to alumni engagement
- Co-coordinates the Annual General Meeting(AGM) with the President and Vice-President, Student Engagement
- Provides regular updates on the financial position of the UTSCAA in regards to alumni engagement at regular meetings and at the Annual General Meeting(AGM)
- Ensures all governance positions related to the UTSCAA are filled accordingly including College of Electors, Council of UTSC and its committees
- Mobilizes and engages the alumni membership through a variety of partnership strategies (reunions, events, surveys, etc.)
- Ensure the Annual Action Plan is utilized as a guideline to implement the Vision and Objectives of the UTSCAA
- Attends and actively participates in UTSCAA Board meetings, UTSCAA Annual General Meetings(AGM), and events sponsored by the UTSCAA and DARO

VICE-PRESIDENT, STUDENT ENGAGEMENT (1)

CONSTITUENT GROUP LIAISON (1)
- Liaises with all constituent groups to maintain ongoing communication of alumni and student engagement initiatives with Board of Directors
- Responsible for ensuring new Constituent Group Creation Proposal is in keeping with UTSCAA Constitution mandate
- Present new Constituent Group Creation Proposal to Board of Directors for approval
- Maintains official record of all Constituent Group Profiles, updating profile form as necessary in Continuity Binder
- Communicate constituent group funding requests to appropriate Vice-Presidents
- Collaborate with the Development and Alumni Relations Office (DARO) to establish working relationship with existing alumni chapters
- Attends and actively participates in UTSCAA Board meetings, UTSCAA Annual General Meetings(AGM), and events sponsored by the UTSCAA and DARO
SECRETARY (1)
- Organizes all meetings and internal communications including minutes of meetings and action items to the Board of Directors
- Takes minutes at Board meetings and Annual General Meetings and distributes them in a timely fashion to the Board of Directors via email and to the alumni membership on the website
- Works with the Development and Alumni Relations Office(DARO) and Board of Directors regarding content for any UTSCAA communications
- Maintains and updates record of UTSCAA agendas, minutes, and other documents in the form of a continuity binder
- Attends and actively participates in UTSCAA Board meetings, UTSCAA Annual General Meetings(AGM), and events sponsored by the UTSCAA and DARO
DIRECTOR: ALUMNI ENGAGEMENT (4)
- Attends and actively participates in UTSCAA Board meetings, UTSCAA Annual General Meetings(AGM), and events sponsored by the UTSCAA and DARO
- Liaise with Development and Alumni Relations Office (DARO) to maintains the website and social media accounts
- Serves as an official alumni engagement ambassador at UTSCAA and DARO sponsored events
- Collaborate with fellow Directors of Alumni Engagement and Vice-President, Alumni Engagement to:
- Identify issues of relevance to alumni in order to design and organize alumni engagement initiatives for fiscal year
- Develop promotional materials for UTSCAA alumni engagement events and initiatives
- Utilize the Annual Action Plan as a guidelines to implement the Vision and Objectives of the UTSCAA
- Outline roles and responsibilities for UTSCAA and DARO sponsored alumni engagement events and initiatives
- Recommend alumni representatives to governance positions related to the UTSCAA (College of Electors and Council of UTSC and its committees)
